How to Register a Cloud Account

1. Register Your Account

For XpressDox cloud hosted: Go to xpressdox.com/cloud-sign-in and select your region. Each region has its own instance (e.g. au.xpressdox.com for Australia). Click Register and complete the form. The first user to register becomes the Account Administrator, although these roles can be changed.

2. Recommended Folder Structure

For XpressDox cloud hosted, it is best practice to split your account into Development and Production environments at the top level. Beneath each, create sub-folders per practice area.

For self-hosted, you may choose to spin up several instances for each of the following.

 

Development Authoring and testing — restricted to admin users. End users cannot see this folder.
Testing (optional) Templates ready for review by a selected group of power users before going live.
Production Live templates accessible to all end users.

 

Set folder permissions on Development so only your admin group can see it (see Section 4). Promote templates to Production only when fully tested.

 

3. Theming and customising your Account

Navigate to Manage > Settings to customise the look and feel of your XpressDox Cloud account.

Basic settings:

  • Customise the account display name
  • Upload your organisation’s logo. The logo is displayed in the top left hand corner as well as on the login page.
  • Set brand colours for the account. This extends to interview headings and footings.

Beyond theming, Show More exposes account-level toggles worth knowing about:

Features can be toggled on/off:

  • The autoloading of data
  • The auto opening of assembled documents
  • Template versioning

Additionally customise the behaviour of other features:

  • Shared interview settings
  • DocuSign integration
  • Single Sign-on

 

4. Users, Roles & SSO

User access is managed under Manage > Users. Roles control what each user can do. XpressDox supports Account Admin, File Admin, Template Runner and Shared Interview User roles. Read more about that here.

User Groups & Folder Permissions

Create user groups under Manage > Users > Groups to control folder visibility. A typical starting point:

  • Create an Admin group and add your administrator users to it
  • Using the context menu on the Development folder, click Manage Permissions and restrict access to the Admin group
  • Users outside the group will not see the folder at all; it is as if that folder does not exist

  Permissions can be set on any folder. Use this to expose a Testing folder to a limited set of power users before templates go to Production.

 

5. Tasks: Optimization & Cleanup

Account and File Administrators can schedule tasks on folders to maintain performance and manage storage. You can view and manage scheduled tasks in the left-hand navigation pane. Read more about that here.

Optimization Schedule:

Builds template artifacts after-hours so that end users don’t experience slow load times after a template upload. Right-click any folder → Optimization Schedule to set it up. Running nightly is recommended.

Cleanup Schedule:

Automatically deletes assembled documents and/or datasets after a specified number of days. Right-click any folder → Cleanup Schedule. Only Account Administrators can create cleanup tasks.

 

6. The XpressDox Agent

The XpressDox Agent is a lightweight local application that allows the web app to open assembled documents directly in Word or your PDF viewer, rather than in read-only browser mode. Install it on each user’s machine or deploy silently via Intune / SCCM / Group Policy. You can read more about the XpressDox Agent here.

 

7. DMS Integration

XpressDox integrates with iManage and NetDocuments via OAuth 2.0, allowing assembled documents to be saved directly into the correct matter workspace.

Before you go live

It is recommended that the saving of documents to your DMS is only configured in your Production folder. Always create a test folder inside your Production environment and validate the DMS connection there first. Once confirmed that all is working correctly, then reproduce the configuration in the root of the Production folder.
